Terms of Service

1\. Agreement
These Terms are a contract between you and XU ZHIHAO, an individual based in Singapore who operates resume4.ai ("we", "us"). resume4.ai is not a company. There is no incorporated entity behind it at this time, and we would rather tell you that than let the word "we" imply one.
By creating an account or using the service, you accept these Terms and our Privacy Policy. If you do not accept them, do not use the service.
If we incorporate in the future, we may transfer these Terms and your account to the new company. We will notify you before that happens.
You must be at least 16 years old. If you are using resume4.ai for an organisation, you confirm you are authorised to bind it.
2\. What the service does
resume4.ai lets you upload a résumé, converts it into structured data, lets you edit that data, and publishes it as a personal web page at a subdomain of resume4.ai. Published pages are accompanied by machine-readable files intended to be read by search engines and AI systems.
We may change, add, or remove features. If we remove something you are actively relying on, we will give you reasonable notice.
3\. Your account
Signing in goes through Google. We do not issue or hold a password for your account, so keeping your Google account secure is what keeps this one secure. You are responsible for everything done through your account. Tell us promptly at privacy@resume4.ai if you think it has been compromised.
One account per person.
4\. Your content
You own your content. Your résumé, your profile data, and anything you write stay yours. Nothing in these Terms transfers ownership to us.
The licence you give us. So that we can actually run the service, you grant us a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, adapt, format, and — once you publish — publicly display and distribute your content. This licence exists only to operate and improve the service. It ends when you delete the content or your account, except for aggregate research results already published as described in section 5\.
Your promises about your content. You confirm that:
- It is your own professional history, and it is accurate to the best of your knowledge
- You have the right to upload it and to let us publish it
- It does not infringe anyone's copyright, trade marks, or other rights
- It does not breach a confidentiality obligation you owe an employer or client
- It does not contain personal data about other people — referee names and contact details, colleagues, clients, or anyone else — unless you have a proper legal basis for including it. If it does, you are responsible for that inclusion.
Job advertisements are not your content. When you paste a job advertisement to check your page against it, you are giving us somebody else's text — an employer's public posting. It is not covered by the licence above and we do not treat it as yours. What we ask of you is narrower:
- You are pasting a real advertisement that was made publicly available, not a document given to you in confidence
- You are not pasting anything an employer told you to keep private, such as an internal requisition or a role that has not been announced
We keep the text of advertisements, without any link to your account, and we study them in aggregate as described in section 5\. We remove email addresses and phone numbers before storing them. We do not reproduce an advertisement's wording publicly, and we do not sell or license advertisement text as a dataset.
What we will not do with your content. We will not:
- Sell your résumé or profile, or license it as a dataset
- Provide your unpublished content to any third party, except to the service providers listed in the Privacy Policy who process it on our behalf so that the service can run
- Publish anything identifiable about you without asking you first
- Train any model of our own on your content
Two limits on that last point, which we state here rather than bury.
First: we use Google's Gemini API to parse your résumé, currently on Google's unpaid service tier. Under Google's terms for that tier, Google may use the content we send to improve its products, including for model training, and human reviewers at Google may access it. We do not control this. Read the Privacy Policy, section 5, before you upload anything.
Second: published pages are indexed by search engines by default, and when indexing is on we actively publish machine-readable files inviting AI systems to read your profile. Some AI crawlers train models on what they read. You can switch search engine indexing off, but there is currently no setting that allows search engines while refusing AI crawlers — the one setting governs both. A published page is also served to anyone who has its address whatever the setting says, and crawler instructions are requests rather than guarantees. Read the Privacy Policy, section 6, before you publish.
5\. Research
We study, in aggregate, how résumés compare against real job requirements, and we publish what we find.
You grant us a licence to include your content in that analysis and to publish the aggregate, de-identified results. What "de-identified" means, and what we strip before publishing, is set out in the Privacy Policy, section 7\.
That analysis has two sides: your content, which you control through the setting below, and the advertisements themselves, which carry no link to any account and are therefore not yours to switch off. Switching the setting off removes you — your profile and the record of which jobs you checked against — from every future analysis.
You can switch this off at any time in your account settings. Doing so removes you from all future analyses. It does not retract results already published, because an already-published statistic cannot be un-computed.
We will never publish anything identifiable about you — a case study, a named example, a before-and-after — without asking you and getting your explicit agreement first. A settings toggle does not count as that agreement.
6\. Publishing and subdomains
Subdomains are allocated, not owned. When you publish, we assign you a subdomain of resume4.ai. You get a licence to use it while your account is active and in good standing. You do not acquire any ownership or property right in it.
Subdomains are first-come, first-served. We may refuse or reclaim a subdomain that:
- Impersonates another person, brand, or organisation
- Infringes a trade mark
- Is registered in bulk, held without use, or offered for sale
- Is offensive, misleading, or unlawful
If we reclaim a subdomain, we will contact you first except where the content is unlawful or presents a clear risk to someone.
Publishing is your decision. We do not publish anything for you. Nothing goes live until you press publish, and you can unpublish at any time.
Visibility settings and defaults. Once published, independent settings control how far your page travels. Search engine indexing is on by default. The resume4.ai directory listing is off by default. Employer search is off by default and is not yet operating — see section 9.
By publishing, you are choosing to have your page indexed by search engines unless you switch that setting off. We will apply whatever settings you choose, but we do not guarantee that every third-party crawler respects them, and we cannot guarantee that a page already indexed by a search engine will be removed promptly after you switch indexing off. A published page remains accessible to anyone who has its address regardless of any setting. If you need a page to be genuinely inaccessible, unpublish it. See the Privacy Policy, section 6\.
7\. Acceptable use
Do not:
- Impersonate anyone. Do not publish a page as, or purporting to be, another person.
- Publish false claims about your qualifications, employers, or credentials
- Publish another person's résumé or career history as if it were your own
- Publish unlawful, defamatory, harassing, hateful, or sexually explicit content
- Publish confidential or trade secret information belonging to a current or former employer
- Use the service to spam, phish, or run a scam
- Scrape, crawl, or bulk-download the service outside our published API and its terms
- Attempt to break, overload, probe, or circumvent the service or its access controls
- Resell or redistribute the service without our written agreement
We do not verify identity. We do not check that you are who your page says you are. If you believe someone is impersonating you, email privacy@resume4.ai and we will investigate.
8\. Contact relay
Published pages carry a Contact button rather than your email address. Messages are relayed to your account.
- We filter for spam and abuse, so some messages may not reach you
- We do not guarantee delivery
- Do not use the relay to send unsolicited bulk messages
- We may suspend the relay for any page that is generating abuse
9\. Employer features and API
Employer search and the profile API do not exist yet. The Employer search setting in your account is an advance authorisation for them, and nothing reads it today. The Privacy Policy, section 9, sets out what we will and will not do when we build them, and what we will tell you before they start operating.
What exists today is narrower: we issue keys to employers so that automated senders can use the Contact relay on a published page under a rate limit. That is a way of sending you a message. It does not read, search, or return your profile.
When employer features do launch:
- Only published profiles will be available through any employer feature or API
- Employer API users must not resell profile data, use it to build a competing database, or use it for any purpose prohibited by applicable employment or anti-discrimination law
- We may revoke API access for any breach
- Separate API terms will apply and will take precedence for API use; they will be published before the API is opened
10\. What we do not promise
We want to be specific here, because this is a category full of claims that cannot be supported.
We do not guarantee that:
- Your page will be indexed by any search engine
- Your page will rank in any position for any search term, including your own name
- Any AI system will read, cite, or surface your profile
- You will receive any contact, interview, or job offer
- Your résumé will pass any applicant tracking system, screening tool, or automated filter
Search engines and AI systems are third parties. We make your content available to them in the formats they prefer, and we submit it for indexing. What they do next is their decision, not ours.
Any scores the service shows you — including readability and machine-readability scores — are our own heuristics designed to be useful. They are not a prediction of hiring outcomes and are not validated against any employer's actual screening process.
11\. Plans, trials, and payment
The service is free, and every feature is included. There are no paid plans, no trial that expires into one, and nothing to cancel or be billed for.
If we ever introduce paid plans, we will publish the terms and prices here first and give you at least 30 days' notice under section 19. We will not convert an existing free account into a paid one without your explicit agreement.
12\. Availability
We aim to keep the service running but do not offer a service level guarantee. The service is provided on an as-available basis. There will be downtime for maintenance, and occasionally for reasons outside our control.
We keep backups but you should keep your own copy of your résumé — we do not store the file you uploaded, only the parsed profile. Your profile is available as structured JSON from your draft and, once published, from your page; if you want a full copy of everything we hold on you, ask at privacy@resume4.ai and we will send it.
13\. Suspension and termination
By you. Delete your account at any time in your settings. Your page comes down immediately and your data is removed as described in the Privacy Policy, section 10\.
By us. We may suspend or terminate your account if you materially breach these Terms, if your content is unlawful or presents a risk to someone, or if we discontinue the service.
Except where content is unlawful or urgent, we will give you notice and, where the breach is fixable, a reasonable chance to fix it. If we discontinue the service entirely, we will give at least 30 days' notice and send you a copy of your profile data.
Sections 4, 5, 10, 14, 15, 16, and 17 survive termination.
14\. Our intellectual property
The service — software, design, brand, and the resume4.ai name — is ours or our licensors'. These Terms give you no rights in it beyond using the service as intended.
Feedback you send us is welcome and we may act on it freely without obligation to you.
15\. Disclaimers
To the fullest extent permitted by law, the service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
resume4.ai is not a recruitment agency, employer, career adviser, or legal adviser. Nothing in the service is professional advice.
16\. Limitation of liability
To the fullest extent permitted by law:
- We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost opportunities, lost employment, or lost data.
- Our total aggregate liability arising out of or relating to the service is limited to the greater of (a) the amount you paid us in the 12 months before the claim, or (b) SGD 100\.
Nothing here excludes liability that cannot lawfully be excluded — including for death or personal injury caused by negligence, or for fraud. If you are a consumer, your statutory rights are unaffected.
17\. Indemnity
You will indemnify us against claims, losses, and reasonable legal costs arising from content you publish, your breach of these Terms, or your infringement of someone else's rights.
18\. Governing law and disputes
These Terms are governed by the laws of Singapore. The courts of Singapore have exclusive jurisdiction, except that if you are a consumer resident elsewhere, you may also bring proceedings in your local courts and you keep the benefit of any mandatory consumer protections of your home jurisdiction.
Before formal proceedings, please contact us at privacy@resume4.ai — most things are faster to resolve directly.
19\. Changes to these Terms
We may update these Terms. The current version is always at this address with its effective date.
For material changes — anything that expands the rights you grant us, changes pricing, or reduces your rights — we will email you at least 30 days before they take effect. If you keep using the service after that, the new Terms apply. If you do not accept them, you can cancel and export your data before the effective date.
20\. General
Entire agreement. These Terms plus the Privacy Policy are the whole agreement between us on this subject.
Severability. If a provision is unenforceable, the rest stays in force.
No waiver. If we do not enforce something immediately, we have not given up the right to enforce it later.
Assignment. You may not assign these Terms. We may assign them to a successor in a merger, acquisition, or sale of assets, on notice to you.
No third-party rights. No one other than you and us has rights under these Terms.
